Duties and Responsibilities:

  • Act as the first point of contact with customers either in person or by telephone/email, seeking to convert customer enquiries, when appropriate, to service bookings.
  • Meet and greet all service customers promptly in a professional and courteous manner when they visit the dealership.
  • Inspect customers’ vehicles and refer to service history to accurately identify and verify all customers’ service needs and in particular to ensure that all customers concerns are correctly captured on the job card.
  • Record customers details accurately, clarify payment options at the time of booking and confirm time for pickup.
  • Promote the sales of appropriate services, parts, and accessories by thoroughly understanding the vehicle and associated service requirements.
  • Check on progress of services to vehicles throughout the day and contact customer to communicate and receive approval and authorization regarding any changes in the cost-estimate, promised time of delivery or recommended services.
  • To deliver customer satisfaction scores in line with Volkswagen and Frank Keane Group standards. 


Requirements

  • Experience as a service advisor in the motor industry is a minimum requirement.
  • Main Dealer experience is desirable, however not completely necessary.
  • Excellent customer service skills, professional appearance and work ethic.
  • Ability to work well in a process driven environment.
  • Ability to upsell from VHC reports.
  • Strong oral and written communication skills.

What this job involves on a daily basis:

  • scheduling customer vehicle service bookings by phone, email, walk-in
  • determining workshop availability for service, maintenance and repair work
  • meeting and greeting all service customers promptly, professionally and courteously
  • ensuring customer details and service needs are accurately captured
  • maintaining up to date progress on each of your customer vehicles when undergoing service and/or repair,
  • advising and agreeing with customers on additional work or costs
  • ensure customer vehicles are ready at the agreed day /time and explain to the customer all the maintenance and report work completed
  • processing of invoices and managing ‘work-in-progress’ on a daily basis
  • liaising with other teams in the business, management, reception, sales, warranty, parts
  • assisting with gathering customer service feedback
  • As a front line member of staff, you will always be a brand ambassador for the Cavanagh’s of Fermoy ensuring our customer service is maintained to the highest standards, utilising manufacturer, company standards and best practice


What you need to have / demonstrate:

  • at least 1 years’ experience in a similar role
  • a working knowledge of ADP/Kerridge
  • good communication, interpersonal and presentation skills (fluent written and spoken English)
  • proven experience in providing excellent customer service to front line customers
  • good attention to detail, accurately recording all relevant details
  • ability to prioritise, multi-task, manage time effectively particularly at peak times
  • ability to work on own initiative when required or as part of a small team
  • flexibility in your approach to work
  • It is essential to have a full valid visa/work / residence permit to work in Ireland
  • full, valid, current driving licence for driving in Ireland

Candidate Requirements -Ideally would have previous experience as a Service Advisor in the motor industry

  • Exceptional customer facing skills - to create customer confidence by ensuring customer awareness of all products & services available.
  • Excellent personal presentation and always reflects the company's corporate image.
  • Professional; highest standards of courtesy & efficiency; enthusiastic
  • Computer literate - to be able to record / amend customer details accurately.
  • Ability to work under pressure and remain calm - to handle upset / demanding customers effectively
  • Accuracy in detailing customer requirements on job cards / invoice
  • To follow up and provide feedback to customers on the status of their vehicle.
  • To ensure that all work requested has been carried out & charged for.


Likely to be/have:

  • Previous experience as a Service Advisor in the motor industry
  • Impeccable appearance and well presented to work in a corporate environment.
  • Good oral & written communication skills
  • Excellent organisational skills
  • Able to record accurately all relevant details
  • Ability to 'up sell' additional work / accessories
  • An ability to absorb and understand technical data and explain it to our customers as required
